Notifications

The ERA application provides several automatic email notifications to assist users in keeping up-to-date with new approvals and due dates. Some of these notifications are non-configurable and always on, while others allow users to determine if they are to be sent out or not.

Configurable Notifications

These emails are configurable by Initiators and Coordinators on an approval-by-approval basis. The configuration options for these notifications are available at the bottom of the Edit Approval form in ERA.

Notify if Advanced - Sends email if Job is Advanced to Next Approver email only applies to Sequential routings. If the Coordinator of the job Advances the approval (skips the current reviewer in the process), an email notification will be sent to the skipped user.

Notify Before Due Date - sends email to either the Coordinator or the entire Team (or both depending on which option is selected when the approval is created) on a certain number of days before the due date of the approval only if the approval has not received signoff from all reviewers. The number of days before the due date the notification is sent is determined by the user creating the approval.

Notify on Comment email is sent to either the Coordinator or the Entire Team (or both depending on which option is selected when the approval is created) every time a reviewer provides signoff for the approval.

Notify on Reject is sent to either the Coordinator or the Entire Team (or both depending on which option is selected when the approval is created) when a reviewer has submitted a Signoff status of Rejected for an approval.

System Generated Notifications

The emails listed below are not configurable within ERA, meaning they are always sent for each approval in the system. The On Hold and Released emails can be removed by WBD development staff, but requires development fees. Please contact WBD for more information about removing these emails from ERA installations.

Form Pending. This email is sent when an Initiator creates a new approval, assigns it to a different Coordinator, and Saves for Later. The Form Pending email contains a link so the Coordinator can quickly activate the routing.

Ready for Signoff. The Ready for Signoff email is sent to a user when an approval has been made active and is ready for them to provide signoff. For Broadcast routings, the email will be sent to all approvers on the team. With Sequential routings, the approver will only receive the email when it is their turn in the cycle to provide signoff on the job.

On Hold. The On Hold email is sent when the Hold/Edit action is utilized. If the routing is broadcast, every team member who has not signed off will receive the notification. If routing sequentially, only the current reviewer is notified.

Released. This email is sent when an approval that was placed On Hold is Released to finish its routing cycle. If routing sequentially, only the reviewer in line to sign-off will receive notification.

Change Coordinator. The Change Coordinator email is sent to the newly-selected Coordinator of an existing approval.

Routing Complete. This email notifies the approval Coordinator when all reviewers on the approval team have provided sign-off.

Pre and Post Review Notifications

The emails listed below apply only to those ERA installations that utilize the Pre and/or Post Review functionality. These emails are not available to standard installations of ERA. 

Pre Review Reject. The Pre Review Reject email notifies the Initiator of an approval that the Coordinator has reviewed the new approval and rejected it, requiring them to edit and re-submit the routing file. 

Master File Upload. This email is sent to the Coordinator of an approval during Pre Review when an Initiator has uploaded a new routing file to an approval that the Coordinator has previously rejected.

Coordinator Signoff. The Coordinator Signoff email is sent to the Initiator of an approval during Post Review when the Coordinator has provided feedback on an approval after the routing is complete.
